The Expandly Platform · Omni-Channel

Compliance, products and marketplaces, all on one platform

You already sell in more than one place. The catalogue lives in one system, orders arrive in another, stock is reconciled by hand at the end of the week, and every new European channel adds another login and another version of the truth. The platform is where all of that becomes one operation, run by your team or ours, from a single set of product and stock records. It starts earlier than the trading, with a guided onboarding that gets your registrations, compliance checks and documentation in place before a listing goes live.

Market chosen, compliance structured, stock in position. Omni-Channel is where those three turn into revenue, and the platform is the system that runs it day to day.

The Opportunity

Most brands don't lose Europe on strategy. They lose it on operations

The second market is manageable. The fourth is where it breaks. A German Amazon account, a Dutch marketplace, a localised Shopify store and a UK channel each want their own listing format, their own stock figure and their own order export. Nobody planned for that. It accumulated. By the time someone notices the same SKU is oversold on two channels and out of stock on a third, the cost has already landed in refunds, cancellations and account health.

Operational drag is also what quietly caps expansion. If adding a market means another two days a week of manual reconciliation, the brand stops adding markets. The platform removes that ceiling. Products, stock, orders and shipping sit in one place, so the fifth channel costs roughly what the second one did.

It starts before you trade, with a guided onboarding

Market access is a paperwork problem before it’s a commercial one. The platform walks you through it in the order the authorities actually need things, so nothing stalls waiting on a document nobody told you about.

01
VAT documentation
02
Product and label checks
03
Responsible Person setup
04
Fiscal representation
05
EPR registration
06
Fulfilment setup

Each step asks for what it needs and shows you what’s outstanding. VAT registration comes first, because most of what follows depends on the numbers being issued. Label checks and the Responsible Person appointment run alongside it. Fiscal representation gets arranged where a market needs it for import VAT deferment. Fulfilment setup starts once the registrations are in place, so stock doesn’t arrive somewhere you can’t yet legally sell from.

The sequence matters more than the speed. Brands that shortcut it usually discover the gap at the border, or when a marketplace suspends a listing, and both cost more to fix than they would have cost to prevent.

Your Portal

Every document in one place, with the status visible as it moves

Everything you upload is stored securely in your portal and stays there. You can see where each registration and check has got to rather than emailing to ask, and our compliance team works from the same records you’re looking at. Nothing sits in a thread nobody can find six months later.

When you’re ready to open another market, you go back to the same place and add what the new country needs. Most of the underlying documentation is already on file, so market five is a shorter process than market one. That’s the point of holding it centrally.

Several of these steps carry charges levied by the issuing authorities and registration bodies themselves, and those vary by country and product category. They’re passed on to you as they’re incurred, and the portal sets out what applies to your situation before you commit to a step, so the cost of opening a market is visible in advance rather than arriving later as a surprise.

What the platform handles for you once you're trading

Four working areas, one set of records underneath them. Your team can run all of it, or your account manager can run it with you, depending on the level of support you choose.

01 · Product Listings

Your catalogue goes live in every market from one record

Build the product once and push it to every connected channel. Each marketplace wants something different, an ASIN for Amazon, category and item specifics for eBay, a shorter title for Etsy, and the platform holds those requirements per channel so you aren’t relearning them market by market. Listings can be created in the local language for European channels.

Revise once and every live listing updates. Relist, revise, end and bulk edit across channels from a single screen.

02 · Order Management

Orders arrive, get checked and get dispatched without manual sorting

Every channel’s orders pull in automatically, roughly every quarter of an hour, with the customer address, the SKU, the stock position and the shipping method the channel supplied. Order Rules then apply your own logic the moment an order lands, so a heavy item routes to one carrier, a wholesale order goes on hold, and a subscription SKU gets tagged. First matching rule wins.

Status updates push back to the channel automatically. Invoices route to Xero, or export by CSV for other accounting packages.

03 · Inventory Management

Stock stays honest across every channel and every warehouse

Turn live inventory on and a sale anywhere updates the quantity everywhere, matched on listing ID, SKU or title. Stock held in more than one location deducts in an order you set. Bundles and kits recalculate their own availability from component stock, so a gift set can’t sell beyond the parts that make it.

Ghost stock lets you show a deliberately low figure on a channel while real stock sits behind it, reinstated after each sale.

04 · Shipping Management

Labels, carriers and returns in the same place as the orders

Connect your carrier accounts directly, or reach a much wider set of European and international carriers through aggregation. Labels and manifests generate from the order screen. Tracking numbers go back to the channel without anyone copying them across. Channel returns import automatically and can be put back into stock, which updates your listings again.

This is the software layer. Physical storage, pick and pack, and in-market reworks sit with Expandly 3PL, described separately below.

Also part of the platform

The four areas above are what you’ll use daily. These sit alongside them and matter more as you scale.

Channels and integrations

Major marketplaces plus the main web cart platforms, custom carts through a bridge file, and phone or email orders through a manual store. API access where your stack needs a direct connection.

Reporting

Build your own views across orders, inventory and customers, with the filters and columns you care about. Schedule them so the numbers arrive without anyone pulling a report.

Accounting

A deep Xero connection covering per-channel mapping, invoicing, credit notes for returns and marketplace settlements. CSV export for other packages.

Users and permissions

Five roles with four levels of access per area, so a warehouse user, a finance user and a founder each see what they should and nothing more.

Expandly AI

Guidance and recommendations built into the platform, pointing you at what needs attention next rather than leaving you to work it out from the dashboard.

Scheduled data transfer

Automated CSV exports and imports for orders, products and reports, hourly through to monthly, for brands with an ERP or a supplier feed to keep in step.

Same catalogue, two very different operations

The difference isn’t the number of channels. It’s whether one record or four people hold the truth.

Channel By Channel

Stock figures live in a spreadsheet that’s accurate on Monday morning. Someone updates each channel by hand, in whatever order they get to them.

A new market means a new listing process, learned from scratch, and one more export to reconcile at month end.

Overselling gets discovered by the customer. Account health takes the hit before anyone internally notices.

Run Through The Platform

One stock figure, updated by every sale on every channel, with warehouse locations deducting in the sequence you set.

A new market reuses the same product records and the same rules. The work is connecting the channel, not rebuilding the catalogue.

Rules catch the exceptions on arrival. Your team spends its time on the orders that actually need a decision.

Both operations can move the same volume. Only one of them can add a fifth market without adding headcount.

What this looks like for brands like yours

The capability is the same. What changes is which part of it you’ll feel the benefit of first.

Segment 01

Sports, Fitness & Active Lifestyle

Demand arrives in peaks, and drops sell out in hours. Live stock across channels keeps a launch honest, and ghost stock lets you hold a deliberate figure on a marketplace while real stock sits behind it.

Segment 02

Technology & Consumer Electronics

The same product often needs a market-specific version, from the plug to the manual. Per-channel listing requirements and separate market SKUs run from one catalogue, and returns import back into stock automatically.

Segment 03

Health, Wellness & Nutrition

Batch and expiry discipline means stock accuracy isn’t a convenience. Multi-location control and live inventory keep short-dated stock visible and moving in the right market first.

Segment 04

Beauty & Personal Care

Sets, gifting and seasonal bundles are the margin. Bundle stock recalculating from component parts is what stops a Christmas kit selling past the components you actually hold.

Segment 05

Fashion, Apparel & Accessories

Deep size and colour variation multiplies fast across markets. One variation library pushed to every channel beats maintaining the same grid in four different back offices.

How This Fits The Service

The platform isn't something you buy separately. It's what running your expansion looks like

Every Expandly client gets the full platform, on every tier. There’s no module list, no per-capability pricing and no version where listings are included but inventory isn’t. That’s deliberate. European expansion fails in the gaps between systems, so selling you one part of the operation and leaving the rest to you would recreate exactly the problem you came to us with.

What changes between tiers is who drives it. You can run the platform yourself with support on hand, have an account manager working through it alongside you, or have a consultant running the operation with your team. Same system underneath, in all three cases.

One catalogue, one stock position, one order queue, one team accountable for all of it.

Where The Platform Connects

The platform runs the trading operation. These are the parts of the pathway either side of it:

Compliance & Tax

VAT registration, product and label compliance, EPR and the Responsible Person service. All of it has to be in place before a listing goes live in a new market.

Expandly 3PL

Our Netherlands and UK fulfilment operation, FBA and FBM support, and returns and reworks. The physical layer the platform’s stock figures represent.

Research & Expansion Intelligence

Country guides and marketplace data, so the next channel you connect is the one the evidence supports.

Plans & Pricing

Every tier includes the full platform. The tier decides how much expert support sits alongside it.

Global Expansion Pathway™

The platform runs Stage 4 of 6

Omni-Channel is where the first three stages start earning. Explore chose the market, Compliance made it legal to trade in, Logistics put stock where customers are. The platform is how the channels then get opened, stocked and traded consistently, and it’s what generates the data Growth and Strategy are planned from.

The Bigger Picture

Operational Control Is What

Makes Expansion Repeatable

Anyone can open a second channel. The question that decides whether a brand becomes genuinely international is whether the fifth channel costs the same to run as the second. That’s an operations question, not a marketing one. Brands that answer it well can enter a market on evidence and a decision. Brands that don’t end up rationing expansion to whatever their manual processes can absorb.

Get this stage right and adding a market becomes a commercial decision again, rather than a question about whether your team can cope.

Proven At Scale

The same platform and the same onboarding process behind every brand Expandly has taken into Europe.

2,000+

brands expanded with Expandly

Setup happens once. The decisions never stop

Onboarding is the part brands worry about, and it isn’t where the tiers differ most. Registrations get done either way, and by month six every client is on the same platform looking at the same data. What changes is who reads that data with you when the judgement calls start.

Stock into the warehouse

How much, how often, how far ahead. The reporting shows you cover and sell-through. Whether you spot a thin position before it becomes a stockout depends on how well you read it.

Peak season preparation

Channel cut-offs, warehouse capacity and the cover you need in place beforehand. Planning backwards from your own dates is a different exercise from doing it with someone who has watched the season go wrong.

Amazon inbound timing

Receiving windows and restock limits move, and they move hardest in the weeks that matter. The platform shows you stock and orders in one place. Timing the shipments is the decision.

Where to expand next

Country guides, market intelligence and Expandly AI all sit in the platform. Reaching a shortlist from them, and knowing what your first three markets should have taught you, is the harder part.

Margin by market

Performance market by market is visible to everyone. Tracing a margin dip to a pricing problem, a shipping problem or a returns problem is what quarterly reviews exist for.

Rules that change

The platform flags new requirements and thresholds. Working out whether a change touches your range is either your afternoon or a five minute answer from someone who knows your catalogue.

Every tier gets the same platform and the same reporting. The tier decides whether you read it alone, read it with your manager, or have the recommendation arrive finished. Choosing the right package works through which of those fits your team.

See It Working

Thirty minutes inside a live demo account, built around your brand

An Expansion Walkthrough is a video call with a senior consultant inside a live Expandly account, showing how the platform would run your category and your intended markets rather than a generic tour. You leave with a read on your first market, a realistic timeline and a cost indication you can take to your board. Book an Expansion Walkthrough if you’d rather see the system than read about it.

Choose your level of support

Every tier includes the full platform: listings, orders, inventory, shipping, reporting and accounting. What changes is who runs it day to day.
